Booking Conditions

Effective January 1, 2026. These conditions govern all bookings made through TravelFirst LLC.

Condition 1: Nature of Service

TravelFirst LLC is an independent travel agency. TravelFirst LLC is not an airline, not an air carrier, and not a direct ticket issuer. TravelFirst LLC provides flight research, written quotes, booking coordination, and ticketing facilitation through accredited ticketing partners. All bookings made through TravelFirst LLC are subject to these Booking Conditions.

Condition 2: ARC VTC Status

TravelFirst LLC participates in the ARC Verified Travel Consultant (VTC) program. ARC Verified Travel Consultant status is an identity-verification credential and does not grant ticketing authority.

Condition 3: Ticketing Partners

Airline tickets are issued through accredited ticketing partners using airline reservation systems. TravelFirst LLC does not issue airline tickets directly.

Condition 4: Quote Definition

A quote is not a reservation. A reservation is not a ticket. These are three distinct stages in the booking process:

  • Quote: An informational document presenting available options and pricing. A quote does not hold a seat and does not constitute a reservation. Pricing and availability reflected in a quote are subject to change until authorization is received and payment is processed.
  • Reservation: A hold on a seat in the airline reservation system. A reservation is not an issued ticket and does not confirm travel until ticketing is completed.
  • Ticket: The final confirmed travel document issued through accredited ticketing partners. A booking is complete only upon written confirmation of ticket issuance.

Customers should not make non-refundable arrangements based solely on a quote or pending reservation.

Condition 5: Agency Fee Disclosure

TravelFirst LLC charges an agency fee for advisory and coordination services. The agency fee is always a separate line item in the written quote and authorization document. It is never embedded in the airfare amount. The agency fee will appear on the customer's card statement as TRAVELFIRST. The amount of the agency fee is disclosed before any payment is collected.

Condition 6: Authorization Requirement

No payment is collected without written authorization from the customer. Before processing any charge, TravelFirst LLC will provide a written authorization document disclosing the itinerary, the airfare amount and charging party, the agency fee amount, the total, and the expected statement descriptor(s). Payment is processed only after the customer provides explicit written authorization.

Condition 7: Price Fixation

After written authorization is provided by the customer, the authorized amounts cannot increase. If a fare change occurs between the time the quote is presented and the time the authorization is processed, TravelFirst LLC will notify the customer and obtain a new written authorization before proceeding. No charge will be processed for an amount greater than what the customer has authorized in writing.

Condition 8: DOT 24-Hour Cancellation Rule

For eligible bookings made at least 7 days before the scheduled departure date, the customer may cancel within 24 hours of booking confirmation for a full refund of airfare and the TravelFirst agency fee. No cancellation penalty applies within this window. To exercise this right, the customer must contact TravelFirst LLC within 24 hours of receiving booking confirmation at support@travelfirst.us or +1 (888) 992-4455.

Condition 9: Fulfillment

Service is rendered upon delivery of the e-ticket confirmation. Ticket issuance typically occurs within 1–4 business hours of cleared payment during business hours. If issuance is not completed within 7 business days of authorization for any reason attributable to TravelFirst, the client is entitled to a full refund of all amounts collected by TravelFirst LLC.

Condition 10: Claims Window

Claims that services were not received must be reported within 24 hours of delivery by contacting support@travelfirst.us or +1 (888) 992-4455. TravelFirst will provide delivery records for any confirmation sent.

Condition 11: Limitation of Liability

TravelFirst LLC's total liability to any client is limited to the amounts paid by that client directly to TravelFirst LLC (the TravelFirst agency fee). TravelFirst is not liable for airfare, taxes, or fees charged by airlines or ticketing partners, airline schedule changes, flight cancellations, force majeure events, or carrier decisions made after ticket issuance.

Condition 12: Seller of Travel

TravelFirst LLC will obtain and maintain any Seller of Travel registrations required by applicable law before conducting transactions requiring such registration.

Condition 13: Governing Law

These Booking Conditions are governed by the laws of the State of New Jersey. See the Terms of Service for full dispute-resolution terms.
