Agency Fee Policy

Our fee, explained clearly.

What is the agency fee?

The agency fee is a charge by TravelFirst LLC for the advisory and coordination work performed on your behalf. It is separate from airfare. It is not charged by the airline. It is charged by TravelFirst LLC and will appear on your statement as TRAVELFIRST.

The fee is disclosed in your written quote before any payment is collected. You will not be charged the agency fee without providing written authorization.

What it covers

The agency fee compensates TravelFirst LLC for the following work performed on your behalf:

  • Flight research and option identification
  • Written quote preparation
  • Booking coordination and ticketing facilitation
  • Advisor support during the booking process

What it is not

The agency fee is not any of the following:

  • A processing fee
  • A convenience fee
  • A carrier fee
  • An administrative fee
  • A service charge
  • A tax of any kind
  • Part of the airfare
  • Set by the airline

Always a separate line item

The agency fee is always presented as a separate, clearly labeled line item in your written quote and authorization document. It is never embedded in the airfare amount. You will always see the airfare and the agency fee as distinct charges before you authorize any payment.

No hidden fees

If you see a charge on your statement labeled TRAVELFIRST, that is the TravelFirst agency fee. Airfare is charged separately by the airline or accredited ticketing partner, and will appear under that party's descriptor — not TRAVELFIRST.

Statement descriptor

The TravelFirst agency fee will appear on your payment card statement as:

TRAVELFIRST

The airfare portion — charged by the airline or accredited ticketing partner — will appear on your statement under that party's name, which is disclosed in your written quote before authorization.

Refundability

The refundability of the agency fee depends on the circumstances of the cancellation:

  • Within DOT 24-hour window: The agency fee is refunded in full for eligible bookings (made 7+ days before departure, cancelled within 24 hours of confirmation).
  • After ticket issuance: The agency fee is non-refundable.
  • Cancellation directly with airline: The agency fee remains non-refundable regardless of the airline's refund of airfare.
  • TravelFirst cannot complete booking: All charges collected by TravelFirst LLC, including the agency fee, are refunded in full.
  • Agency fee waiver: After ticket issuance the TravelFirst agency fee is non-refundable, as the advisory service has been rendered. TravelFirst will consider a full or partial agency fee waiver only where: (a) the delivered itinerary materially differs from the itinerary authorized in writing; (b) a ticketing error attributable to TravelFirst resulted in an incorrect passenger name, date, or routing; or (c) TravelFirst failed to notify you of a fare change before processing a revised amount. To request a waiver, email support@travelfirst.us with your booking reference within 14 days of ticket issuance. Requests outside these circumstances will not be considered.
